Solo Fit Ltd is committed to protecting your personal data and respecting your privacy. This Privacy Policy explains what personal data we collect, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Solo Fit Ltd is the data controller for personal data collected through www.solofit.co.uk and the Solo Fit Gym app. Our contact details are: hello@solofit.co.uk, 38 Juniper Square, Hemel Hempstead, HP2 4GB.

 

1. What data we collect

We collect the following categories of personal data:

  • Identity data: your name and date of birth

  • Contact data: your email address and phone number

  • Account data: your login credentials and booking history

  • Health data: information provided in your Health & Gym Experience Questionnaire (collected to satisfy our insurance obligations under the Gymnasium Condition L068 of our Accelerant Insurance policy)

  • Payment data: payment card details processed securely via our app payment provider. We do not store full card details on our systems.

  • Usage data: information about how you use our app and website, including bookings made, sessions attended, and preferences

  • CCTV footage: continuously recorded footage of the premises for security purposes

 

2. How we use your data

We use your personal data for the following purposes:

  • To create and manage your account and process bookings (lawful basis: contract)

  • To process payments and manage billing (lawful basis: contract)

  • To comply with our insurance obligations, including maintaining health questionnaire records (lawful basis: legal obligation)

  • To communicate with you about your bookings, account, and any changes to our services (lawful basis: contract)

  • To send you marketing communications about Solo Fit, where you have opted in (lawful basis: consent)

  • To monitor CCTV footage for security and safety purposes (lawful basis: legitimate interests)

  • To comply with applicable legal and regulatory obligations (lawful basis: legal obligation)

 

3. Health data

Health information collected via our Health & Gym Experience Questionnaire is treated as special category data under UK GDPR. We collect this data solely to fulfil our obligations under our insurance policy and to ensure the safety of our users. This data is stored securely and accessed only where necessary. We will retain health questionnaire data for as long as you hold an account with us, plus six years thereafter in case of any legal claims.

 

4. Who we share your data with

  • Our app and booking platform provider (Gymflow), who process data on our behalf as a data processor

  • Our payment processing provider, who handle payment transactions securely

  • Our insurance provider, Accelerant Insurance UK Ltd, where required in connection with a claim

  • Law enforcement or regulatory authorities where required by law

We do not sell your personal data to any third party.

 

5. How long we keep your data

  • Account and booking data: for the duration of your account plus 6 years after closure

  • Health questionnaire data: for the duration of your account plus 6 years after closure

  • Payment records: 7 years in accordance with HMRC requirements

  • CCTV footage: typically 30 days, unless retained longer in connection with an incident or legal matter

  • Marketing preferences: until you withdraw consent

 

6. Your rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • The right to access the personal data we hold about you

  • The right to correct inaccurate or incomplete data

  • The right to request deletion of your data (‘right to be forgotten’), subject to legal retention obligations

  • The right to restrict or object to our processing of your data

  • The right to data portability

  • The right to withdraw consent at any time (where processing is based on consent)
